WOLF volunteer role descriptions

Home meet volunteers:

WOLF is a nonprofit organization that relies on parent volunteers to make home swim meets run. Volunteering is a great way to become involved with the team and get to know the parents of other swimmers. Volunteers also allow our coaches to focus on doing what they do best - coaching your swimmers. Parents are required to volunteer to ensure that our home meets are run smoothly and efficiently.

  • Lane Timer: (2 per lane per session)

Volunteering to time is the easiest volunteer position there is! You get a front row seat to the races, you get to use a stopwatch, and you are the backup to the timing system. You start your watch when the race begins, you stop your watch/press a button, when the swimmer finishes their race on the wall, then you write down your stopwatch time! Easy! Requires sitting and standing. Arrives at least 15 minutes before each home meet.

  • Head Timer: (1 per session)

The Head Timer is the backup to the backup for the timekeeping system. You will have two watches and if anyone in one of the lanes forgets to start their watch or there is a malfunction with a watch, you switch out one of your watches with theirs! You will also occasionally work with the timing table to collect backup times if needed throughout the meet. Requires standing and walking. Arrives 15 minutes before each home meet.

  • Results Runner: (1 per session)

The results runner picks up the timer sheets after each event and brings them to the timing table. If there are awards at that meet, they will also bring the awards labels to the awards table. Arrives 15 minutes before each home meet.

  • Awards: (2 per session)

Hands out awards during and 15 minutes after the session end time. Keeps awards and labels organized.

  • Coach Check in: (2 per session)

Arrives 30 minutes before the warmups begin to ensure that coaches and officials are showing proper credentials (USA Swimming) to be allowed on deck. Handing out passes/wristbands to those that are allowed.

  • Pool Setup: (3 per meet)

This is a physical job, but is easy to do! You arrive 45-30 minutes before the meet start time and help setup 2 chairs at each lane (for timers), chairs for spectators as needed and the timing system, including cords and pads. Will require bending/lifting.

  • Hospitality: (2 per session)

Arrive 30 minutes prior to each home meet - setup food in hospitality area. Keep food and supplies stocked during your session and keep the area clean. Tear down or restock supplies at end of your session. Requires standing, bending.

  • Safety Officer: (2 per session – 1 male and one female)

Ensures that only authorized swimmers and coaches/officials are allowed on the pool deck during meets. Also ensures that only athletes are using the locker rooms per Safe Sport rules. Reports any safety violations to the meet director.

  • Announcer: (1 per meet)

Arrives 30 minutes prior to each home meet. Collects visiting team information, announces events and athletes throughout the meet - knows how swim meets run and keeps the meet running smoothly. Also in charge of music selections at meet.

  • Timing Table: (2 per meet)

Arrives 45-30 minutes prior to meet start time, sets up computer, printer and timing computer. Because these positions require knowledge and experience with Colorado 6 system and/or Meet Manager software, these positions may not be open on the volunteer list. Runs the meet and ensures that times are collected. Runs reports for coaches and shuts down equipment at the end of the meet.

  • Pool Cleanup: (2 per meet)

Similar to setup, but instead putting all items away at the end of the meet. This requires you to stay for about 15-30 minutes after each meet to ensure that all items are put away properly.

Other Volunteer opportunities:

  • Meet Director: (1 per meet)

This is usually the Head Coach, but doesn’t always have to be. The meet director is in charge of all details regarding that meet – coordinating all volunteers, ensuring that all rules are followed and that the meet runs smoothly. Is on deck during all sessions – addresses any problems that arise.

  • Volunteer Coordinator: (1 per team)

Works with the Head Coach/Coaches to identify the needs of the team for the upcoming season and helps to coordinate volunteers throughout the season as necessary. Must be responsive to email and/or text.

  • Banquet/Hospitality Coordinator: (1 per team)

Works with the Head Coach/Coaches to identify the date and details needed for the end of season banquet and or large hosted home meets. Coordinates menu and other details with vendor/caterer. Works closely with Volunteer coordinator.

  • Other/Special skills:

If you own a business or have another special skill (handyman, advertising, marketing, for example) that you would like to contribute to the team, please let one of the coaches know!
